Background checks are often the last step before a new job or license. When results are delayed, start dates and careers can be put on hold. Many delays are avoidable. Here are the most common mistakes we see and how to prevent them.

Using the Wrong Reason Code

This is the most common and costly mistake. The reason code tells BCI why the check is being performed and who can receive the results. A check submitted under the wrong code may not be accepted by your employer or licensing board. Always get the code from the requesting organization in writing before your appointment.

Ordering the Wrong Checks

Some applicants order only a BCI check when an FBI check is also required, or the reverse. Confirm whether you need BCI, FBI, or both.

Incorrect Personal Information

A misspelled name, transposed birth date, or missing detail can slow processing or cause results to be misdirected. Review your information carefully before the technician submits it, and make sure your name matches your ID.

Wrong Recipient Information

If results are sent to the wrong agency or address, your employer may never receive them. Bring any recipient details your employer provided and double check them at the appointment.

Poor Quality Fingerprints

Smudged or faint prints can be rejected, which often means starting over. Prepare your hands in advance, wash before your appointment, avoid heavy lotion that day, and work with a technician who checks image quality.

Waiting Too Long

Many applicants wait until a few days before their start date. If anything goes wrong, there is no time to fix it. Get fingerprinted as soon as you know a check is required.

Using an Expired Check

Some employers and licensing boards only accept results within a certain time frame. An older check may not be valid for a new job or a renewal. Ask before assuming your previous check will work.

Losing the Receipt

Your receipt or transaction record helps track your submission if questions arise. Keep it until your employer confirms that results were received.

Not Following Up With the Right Party

Results usually go to the requesting organization. If you are waiting, contact them first. They can confirm whether results have arrived.
